Switching payroll providers is supposed to be painful. Re-entering every employee’s information, retyping W-4s, hoping you get the YTD totals right so Q4 taxes don’t explode. Connect your Gusto account instead. We’ll import your employees, contractors, payroll history, tax withholdings, and PTO balances. Your first Pluvel payroll will calculate correctly because we know what’s already been paid this year.

This is a migration — not an ongoing sync. Once you import, you run future payrolls in Pluvel. Changes you make in Gusto won’t appear here.

When to migrate

Timing matters for payroll migrations.

Mid-quarter migrations require careful tax coordination. We need to file partial-quarter returns in both systems. It’s doable, but year-end or quarter-end is much cleaner.

Before you connect

Make sure you have:
  • Admin access to your Gusto account
  • All pending payrolls completed (finish current payroll in Gusto)
  • Any reports you want downloaded

Connect Gusto

Start the connection

Go to Settings → Integrations, find Gusto in the Payroll section, and click Connect.

Authorize with Gusto

You’ll be redirected to Gusto. Log in and authorize Pluvel to access your company data.

Choose what to import

Select which data to bring over:
  • Employee information
  • Contractor information
  • Payroll history
  • Tax documents
  • PTO balances

We show you exactly what will import before we do it. Verify employee count and data types.

Run the import

Click Import to bring everything into Pluvel.

What we import for each employee

After import, employees can log into Pluvel to view pay stubs and update their information.

Why payroll history matters

We import all payroll runs from the current calendar year. This ensures:
  • Accurate YTD totals — Tax calculations use actual year-to-date wages
  • Correct W-2s — Year-end forms reflect all wages, not just Pluvel wages
  • Proper quarterly filing — Quarterly taxes account for what’s already been withheld
If you migrate mid-year, your first Pluvel payroll will automatically account for wages and taxes already paid through Gusto.

Tax documents that transfer

  • Quarterly Form 941 filings (current year)
  • State tax filings
  • W-2s from previous years (for reference)
  • 1099s from previous years (for reference)

Migration checklist

Run your last Gusto payroll

Complete any pending payrolls before migrating. Don’t leave a payroll half-done.

Import data to Pluvel

Use the Gusto integration to bring over employees, contractors, and history.

Have employees verify their info

Send employees their Pluvel login. Have them confirm pay rate, direct deposit, and tax withholding.

Set up payroll in Pluvel

Configure your pay schedule, tax registration, and funding account.

Run your first payroll

Process a payroll and verify the calculations look right.

Cancel Gusto

Once you’ve run 2-3 successful payrolls, cancel your Gusto subscription.

Common issues

Check that:
  1. You have admin access in Gusto (not just view-only)
  2. Your Gusto account is active (not suspended)
  3. You’re connected to the right company
Try disconnecting and reconnecting. Contact support if it persists.
Only active employees import by default. Terminated employees don’t come over unless you select “Include terminated employees” during import.
We import the most recent W-4 information from Gusto. If an employee recently changed their withholding in Gusto, verify it came through correctly.
Compare YTD totals in Pluvel with your last Gusto pay stub. Small rounding differences are normal. Large differences should be reported to support before you run payroll.

What happens to Gusto

Connecting Pluvel doesn’t affect your Gusto account. You can:
  • Continue running payroll in Gusto until you’re ready to switch
  • Keep Gusto active as long as you want during transition
  • Access historical Gusto data even after canceling (Gusto retains records)
Don’t cancel Gusto until you’ve successfully run at least 2-3 payrolls in Pluvel.
