Select document types
Choose what you need:
- Bank statements
- Receipts
- Invoices
- Contracts
- Tax documents
- Custom (describe what you need)
Set parameters
Add specifics:
- Date range (e.g., “January 2025 bank statement”)
- Account/vendor name
- Format preferences
Request templates
Save time with templates for common requests:Create a template
- Go to Firm Settings → Templates → Document Requests
- Click New Template
- Define:
- Document types
- Default instructions
- Default due date offset (e.g., “7 days from send”)
Using templates
- Start a new request
- Click Use Template
- Select template
- Customize for this specific request
- Send
Common templates
- Monthly bank statement request
- Missing receipt request
- Year-end tax document checklist
- New client onboarding documents
- Quarterly review package
Client experience
When you send a request, clients:- Receive an email notification
- Click the link to access their portal
- See exactly what’s needed
- Upload files directly
- Mark items as submitted
Tracking requests
Monitor all outstanding requests:Request status
| Status | Meaning |
|---|---|
| Sent | Request sent, waiting for client |
| Viewed | Client has opened the request |
| Partial | Some items uploaded |
| Complete | All items received |
| Overdue | Past due date, still incomplete |
Request dashboard
View all requests across clients:- Go to Firm Dashboard → Document Requests
- Filter by status, client, or due date
- See what’s outstanding
Reminders
Automatic reminders
Enable auto-reminders in request settings:- Set “Send reminder every X days”
- Set “Stop after X reminders”
- Reminders include the request link
Manual reminders
Send a one-time reminder:- Open the request
- Click Send Reminder
- Add a personal note if desired
Following up
When requests go unanswered:- First reminder — Automatic (if enabled) or send manually
- Second reminder — Add context (“I need this for your monthly close”)
- Phone call — Sometimes a quick call is more effective
- Escalate — Contact a different person at the client if available
Receiving documents
When clients upload:- You receive a notification
- Documents appear in the request
- Review each document
- Mark as accepted or request revision
Requesting revisions
If a document doesn’t meet requirements:- Open the uploaded file
- Click Request Revision
- Explain what’s wrong
- Client receives notification to fix it
Document storage
Uploaded documents are stored with the client:- Organized by request
- Searchable by name and date
- Retained according to your firm’s policy
Bulk requests
Request documents from multiple clients:- Go to Firm Dashboard → Document Requests
- Click Bulk Request
- Select clients
- Choose document type
- Set due date
- Send to all
Integration with workflows
Document requests connect to other workflows:- Transaction review — Request receipt for unverified transaction
- Month-end — Request missing documents before close
- Tax prep — Request tax documents for return preparation
