Right now, you’re the only one who can access client accounts. If you’re sick, on vacation, or just swamped — nobody else can step in. That’s a bottleneck you don’t need. Add your team to the firm account. Each person gets their own login with appropriate access levels — bookkeepers see transactions, senior staff can make entries, admins manage settings. You stay in control while spreading the work.

Team member roles

Invite a team member

Go to Firm Settings

Click your firm name in the sidebar, then Settings → Team.

Click Invite

Click Invite Team Member.

Enter details

Add their:
  • Email address
  • Name
  • Role

Assign clients

Select which clients they can access. You can assign all clients or specific ones.

Send invitation

Click Send Invite. They’ll receive an email with a link to set up their account.

Managing team access

Change someone’s role

  1. Go to Firm Settings → Team
  2. Click on the team member
  3. Change their role
  4. Click Save

Change client assignments

  1. Go to Firm Settings → Team
  2. Click on the team member
  3. Update their Assigned Clients
  4. Click Save

Remove a team member

  1. Go to Firm Settings → Team
  2. Click on the team member
  3. Click Remove from Firm
Their access is revoked immediately. Their activity history is retained for audit purposes.

Firm Admin

  • Access all clients
  • Manage team members
  • Modify firm settings
  • Manage billing
  • White-label configuration

Senior Accountant

  • Full access to assigned clients
  • Run reports
  • Make journal entries
  • Approve transactions
  • Cannot modify firm settings or billing

Bookkeeper

  • View and categorize transactions
  • Reconcile accounts
  • Request documents
  • Cannot make journal entries or access sensitive data

Viewer

  • Read-only access
  • View reports
  • Cannot make any changes

Two-factor authentication

We recommend requiring 2FA for all team members:
  1. Go to Firm Settings → Security
  2. Enable Require 2FA for all team members
  3. Team members will be prompted to set up 2FA on their next login

Activity logging

All team member activity is logged:
  • Who accessed which client
  • What changes were made
  • When actions occurred
View logs in Firm Settings → Activity Log.
Activity logs are retained for 7 years for compliance purposes.
